Cal-Ila Board Meeting
November 10, 2007
Held at Joy Pedroni's Ranch in Vacaville

Meeting called to order 10:05am
Old Business:
Treasurers Report - Dennie Hansen
- As of October 31, 2007 have $28,924.19 in the bank. $12,000 was in a Cd and the interest rate was the same so put it into checking $18,000 CD
- All bills paid and current.
- $1000 sent to Cal-Paca as sponsorship for Symposium. This gave us 2 passes for 2 Vets and we only need to purchase one for the 3rd at $110.00.
2008 Cal-Ila Grass Valley Show
Judges same as last year. Pam Jensen and Margaret Henry. $1,600/each flat fee for each judge. Up to them to pay air-fair, lodging, rental car and food from that.
- MSP to change entry fees from $17 to $15 per class.
- Less Flynn to do Registration
- Mary agreed to solicit local vendors to purchase ad space in our program. ie feed stores, trailer sales, western ware etc. Business cards $10, ¼ page $20.00, ½ page $35.00 and a full page $60.00.
- Mary agreed to be responsible for getting programs printed once given all the information copy ready from Tom Hansen.
- MSP not to except “Special Stall Assignments”. If members want to stall near friends, suggest one-person orders all the stalls needed to guarantee stalls are together.
- MSP Vendors $50.00 charge includes 2 tables. If more needed then Vender pays Fairground fee for any extra tables. They will need to pre-order their tables.
- Ken DeHart to work with Boy Scouts on panel setups.
- Robin Hester to see to it everyone has assistance in taking down his or her panels if needed.
- MSP to have a “Release Form” which needs to be given by any BOD before departure.
- MSP to have a ½ page ad ($170, which is 15% off normal price) in Llama Banner Jewels Addition, with show date also in Show Calendar of Banner for free, and in The Show Ring ($110) for the March 2008 editions. Ad will also direct people to our website for information on the fleece competition etc. This will be a real “Media Blitz” to promote the Grass Valley Show and Cal-ILA.
- The Board unanimously agreed that Cal-ILA is expanding our horizons and with this National Advertizing for new participates that we need to update and reconstruct our website and promote a professional image and user-friendly site. All agreed to help with ideas for our Webmaster to meet this task.
- Changes in Classes offered in 2008: No Open Obstacle this year. We will have Novice and Advance PR courses.
- New class offered this year. “Rookie Handler Obstacle class”. This is for those individuals who have never gotten a 1st, 2nd or 3rd place ribbon in performance. It will use the same coarse as the Novice and Jr. Youth Obstacle. Rookie will be after Novice and Jr. Youth Obstacle. Only offered for Obstacle, NOT pack or PR. This is a non-ALSA class and will cost only $5.00 per judge. Both Judges will judge class. Ribbons will be given out for 1st thru 5th place and a participant ribbon for all.
- MSP for Cal-ILA to provide Reserve and Grand awards for Novice classes.
- Walking Fiber & Fleece Show added this year! Walking Fiber will be by appointment on Saturday. Fleece will have an early deadline so it can be judged earlier. Maryan Baker will be our Fiber/ Fleece Judge.
- MSP to have Dennie check on “Mini Llama” criteria for show.
- MSP for Joy to get word out to general membership to see if enough folks are interested in a Mini Llama Class to make it worth while to offer.
- Renaissance Night Friday night. This year to encourage even more participation there will be contest & prizes for table decorations, foods and costumes. This was tabled for the Show Committee to work on in more detail.
2008 California State Fair
- Barnie to be Superintendent
- As of this date there is no report from Barnie about the 2008 Fair and how things are progressing.
- MSP to let Barnie do “his thing” in organizing the State Fair with the people at the Cal Expo and that the State Fair Committee decides what they want done and notify Barnie to implement.
2008 Annual Barn Sale & Play Day
- MSP to drop the Youth Only ALSA show due to lack of participation
- MSP to have it set up as originally planned by Esther Sue to be a “Play Day” and Barn Sale.
2008 Camelid Symposium 1/5-1/6/2008
- Joy reported that she has been attending all meeting with the CALPACA group and has had no real input in the meetings. MSP to have Joy stop attending meetings unless needed.
- A $20.00 refund will be given to CAL-ILA members at the time of registration. They must be in attendance to receive the refund.
Event Coordinator
- Joy volunteered to take over the duties of the Event Coordinator.
- MSP to develop an event approval form for members to fill out and present to the BOD for approval. Once approved, Joy would be sure to have the event information put on the website.
- Even annual events such as Clipper Party. 4th of July parade, New Years Day Walk etc. will need to submit a form each year just to be sure everything is put on the calendar and updated properly.
Cal-ILA Hot August Nights
- The show has been sanctioned by ALSA and is on the 2008 show calendar
- Wally & Maryan Baker will be our judges
- Further discussion on event tabled for the next meeting when all Board members will be in attendance
New Business
Permanent Cal-ILA Display
- MSP to develop a permanent Cal-ILA Display. It will consist of such things as: Pictures of llamas (e-mail to membership to send in some favorite pictures for display) Brochures and pamphlets about
- Cal-ILA Cal-ILA activities: shows, walks, parades, clinics, American River Clean-Up etc. Yarn & Fleece display
- MSP to get a couple of the Digital Picture frame to fasten to back on backdrop to add “punch” to the display.
- Display to be used at Grand Nationals, State Fair, Camelid Symposium and any other event we which to use to promote Cal-ILA.
- MSP to allocate $500 towards display.
- Joy, Dennie and Esther Sue will put something together in time for the Symposium in January.
Return Check Policy
- MSP to deny participation in Cal-ILA functions for members who have had checks returned by the bank due to Non Sufficient Funds etc. until said check is redeemed by a cashiers check or money order.
- MSP to charge a $25 return check fee on all returned checks.
- MSP that the Treasurer will automatically try to redeposit any return check after the first return. This is easily done by just calling the bank to verify that funds are available and resubmit the check.
2009 Grass Valley Wool Market and Llama Show:
- Joan Clappier and several other Alpaca owners had approached a couple of the board members to see if we would be interested in having a Wool Market held at the Grass Valley Fairgrounds in 2009 in conjunction with our Cal-ILA Llama show.
- They have already gotten a preliminary OK from the Nevada County Fairgrounds for 2009. The Board all agreed that it would be a great opportunity for all to promote our llamas and other fiber animals.
- Joan and her friends would do all the work putting on the Wool Market and would not use any of “our areas” used for our show but would take over the rest of the facilities.
- There would be workshops, fiber art workshops, and variety of entertainment, music, and demonstrations.
- Each species group would be in charge of their own part of the market. i.e. llamas, goats, sheep, rabbits etc.
2008 Board of Directors
- There will be two openings for the 2008 Cal-ILA Board of Directors.
- Need to solicit applicants for positions.
2008 Cal-ILA General Membership Meeting March 8, 2008
- Need to reserve room with UC Davis
- MSP to have sandwiches etc. same as last year
- All board members agreed to try and think of ideas to make the meeting even more informative and entertaining for the membership and present those ideas at our next meeting.
Next Cal-ILA board meeting to be held on Saturday, January 19, 2008, at Greg Sykes home in Marysville at 10am
